CONDITIONS FOR HIRE OF THE WOODBURY HALL.

It's simple - Leave it the way you found it.

  1. The Woodbury Domain Hall is a community asset that has been cared for and appreciated by many people over many years. It is a Community Hall of significance in the South Canterbury region.

    As hirers there are conditions/responsibilities attached to ensure it is there for generations to come.

    1. As well as the normal Hire charge for the period of use, there is a Refundable $200.00 Bond required. This is invoiced along with the total Hire charge at the time of booking.
    2. No payment of Bond - no security of booking.
    3. Full payment must be received before the Hall Hire commences.
    4. Keys are issued at an agreed time on the day of commencement of Hire.
    5. The Bond is fully refunded once final inspection for cleanliness and no damage is made. This is deposited into your nominated bank account by direct deposit – no cash refunds.
    6. All rubbish, decorations are to be removed before inspection. Any cost incurred by the Hall Committee in the disposal of rubbish will be withheld from the Bond.
    7. All damage is to be reported immediately to enable the Committee to arrange fixing. Costs are to be paid by the Hirer.
    8. All Hirers are by default the nominated Fire Warden – please read attached document and sign that you understand the responsibility.
    9. No doorways/ exits are to be locked or blocked during the use of the Hall in case of emergencies.
    10. There must be no more than the stated attendees – the maximum number of people allowed in the Hall are 200.
    11. Any unnecessary activating of the Fire Extinguishers will result in a fine.
    12. No flammable materials are to be used as decoration without the express permission of the Hall Committee.
    13. No sales of Alcohol without a Special License from the LLA - https://www.timaru.govt.nz/services/environment/liquor-control/liquor-licensing/special-licences
    14. Ensure that all Guests do not drink and drive as part of your Host responsibility.
    15. All noise must cease by midnight in accordance with the Timaru District Council Noise Control by-laws and the Resource Management Act.1991.
    16. The Woodbury Domain Board want you to have a good time and enjoy the Facilities – but any noisome, illegal, dangerous or unlawful activities will result in the immediate closure and forfeiture of the Bond. Enforcement authorities may be called upon to assist in this process.
    17. Woodbury Domain Hall is a no smoking/Vaping venue in accordance with the Smokefree Environments and Regulated Products (Smoked Tobacco) Amendment Act 2022 – smoking areas are outside away from the door areas.
